How to use AI to make a presentation: a 2026 guide
AI can now take you from a blank page to a designed deck in under a minute. It can also hand you twelve confident slides of nothing, with a chart of numbers nobody ever measured. The difference is mostly in how you use it. This guide covers the three ways to make a presentation with AI, a workflow that keeps you in charge of the message, prompts you can copy, and the mistakes we see most.
The three ways to use AI for a presentation
| Approach | Examples | Great at | Watch for |
|---|---|---|---|
| A chat assistant writes it | Claude, Gemini, ChatGPT, Copilot | Thinking it through: structure, wording, objections, speaker notes | A chat isn't a deck: you still need design, a file or a link |
| An AI presentation maker builds it | InstaPresentation, Gamma, Beautiful.ai, Canva | A designed deck in seconds, ready to present | Generic content if your prompt is generic |
| AI inside your slide app | PowerPoint Copilot, Google Slides with Gemini | Staying inside a company template | Needs the paid add-on; design often needs polishing |
The best results come from combining the first two: let a chat assistant do the thinking with you, then let a presentation maker do the design. With InstaPresentation you can do that in one step, by connecting Claude, Gemini or ChatGPT or by pasting the chat's answer. For a side-by-side of the tools, see the 10 best AI presentation makers.
A workflow that works
- Write a one-paragraph briefWho's watching, what you want them to do afterwards, how long you have, and the three things they must remember. This paragraph does more for the deck than any prompt trick.
- Gather the real materialThe report, the spreadsheet, last quarter's numbers, the customer quote. AI is excellent at shaping what you give it and unreliable at facts it has to recall.
- Ask for an outline firstSlide titles only, one idea each. It takes seconds to fix an outline and minutes to fix a finished deck. In InstaPresentation, turn on Outline first in the create options.
- Generate the deckPaste the brief and the material. Ask for speaker notes on every slide, charts only where you supplied numbers, and a closing slide with the one thing to do next.
- Check every factNumbers, names, dates, quotes. If a figure didn't come from your material, delete it or find the source.
- Edit for the roomCut a slide or two. Make every headline a sentence that states the point ("Returns fell 18% after the new packaging", not "Returns").
- Rehearse with the notesRun it once out loud with presenter view or your phone remote. Anything you stumble over is a slide to simplify.
Prompts you can copy
The all-in-one prompt
Make a [10]-slide presentation for [audience] who need to [decide / learn / approve] [thing]. I'll talk for [12] minutes. Use only the facts below; never invent numbers. One idea per slide, headlines that state the point, speaker notes on every slide, a chart wherever I've given numbers, and a final slide with the one action I want. Material: [paste]
Turning a document into a talk
Turn this report into a 10-minute talk for people who haven't read it: the question, what we did, three findings with the exact numbers, what it means for them, and what happens next. Material: [paste]
Fixing a deck you already have
Here's my current deck. Cut it to 8 slides, merge anything repetitive, turn the process slide into a timeline, and rewrite every headline as a full sentence that states the point.
Seven mistakes to avoid
- Accepting invented numbers. A chart with plausible, made-up figures is worse than no chart. InstaPresentation turns an "illustrative" chart into a timeline or bullets rather than draw numbers you didn't give it, but check any tool's output.
- Prompting with a topic instead of a goal. "Cybersecurity" gets a lecture. "Get the board to fund MFA for every account this quarter" gets a pitch.
- Too many words on slides. Ask for short bullets and put the detail in the speaker notes.
- AI images with fake text. Image models still garble lettering and labels. For anything factual, use real photos or a labelled diagram you can check.
- Skipping the outline. Regenerating a whole deck to fix the order wastes time and credits.
- Off-brand decks. Save your company's colours, fonts and logo once as a style and use it every time.
- Never rehearsing. AI writes the slides; it can't deliver them. One out-loud run catches most problems.
Using AI for presentations as a team
When everyone on a team makes their own AI decks, you get ten different looks and ten different ways of explaining the same product. A few habits fix most of it:
- One brand kit. InstaPresentation team plans share a logo, colours, fonts and saved brand styles with every seat, so an AI-made deck starts on-brand.
- One pool of credits. Team seats draw from a shared monthly pool (400 credits per seat on Team), so the person presenting tomorrow isn't blocked by their own limit.
- A shared prompt library. Keep your best briefs ("quarterly update", "customer kickoff", "training module") in a doc everyone copies from.
- Decks on links, not attachments. A shared link always shows the latest version and works on any device, including the phone in the room.
- Assistants that can reach the decks. Connect Claude, Gemini CLI or ChatGPT and anyone on the team can say "make the customer kickoff deck for Acme in our style" from the chat they already use.
Can AI present for me?
Not yet in a way an audience enjoys, but it can do a lot of the supporting work. InstaPresentation can write a speaker script from your slides, record your talk with captions, turn it into a narrated MP4 for people who missed it, and run live Q&A and polls so the audience can take part. The delivery is still yours, and your phone can make that easier: see using your phone as a remote, zoom and laser pointer.
Frequently asked questions
What is the best AI for making presentations?
Use a chat assistant (Claude, Gemini or ChatGPT) for the thinking and an AI presentation maker for the design. InstaPresentation connects to all three, so the assistant can build the designed deck directly. Our comparison of the 10 main tools covers prices and trade-offs.
Can ChatGPT or Claude make a PowerPoint?
They can write all the content, and some versions can produce a basic .pptx file. For a designed deck you can keep editing, present from a link and export to PowerPoint later, send their answer to an AI presentation maker such as InstaPresentation.
Is it OK to use AI for a work or school presentation?
Usually, as long as the facts are right and you follow your organisation's or school's rules about AI. Treat AI as a fast first draft: check every number, cite your sources and make sure you can explain every slide.
How do I stop AI from making up statistics?
Give it the real numbers and tell it to use only those. InstaPresentation's rules forbid invented figures, and its quality pass replaces illustrative charts with non-numeric layouts.
How long does it take to make a presentation with AI?
A designed first draft takes under a minute. Plan another 15-30 minutes to check facts, cut slides and rehearse once.
