InstaPresentation ("we", "us") is an online tool at instapresentation.com that helps you create, edit, present and share presentations. This policy explains what information we collect, how we use it, who we share it with, and the choices you have.
What we collect
Account details: your email address, and your name and profile picture if you sign in with Google or add them yourself. Your hub name (handle) and hub settings.
Your content: presentations, text, notes, images and files you upload or generate, charts and data you import, brand styles and fonts, recordings, and Record Pod audio and transcripts if you use those features.
Live sessions: the name you choose (if any), chat messages, questions, poll votes and reactions you send while following someone's live presentation.
Payment details: when you buy a plan, Stripe collects your card details. We never see or store your card number. We keep your plan, billing status and a Stripe customer reference.
Technical information: basic request data such as IP address, browser type and timestamps, which our hosting provider processes to run the service and keep it secure.
Messages you send us, such as support emails.
How we use it
To provide the service: sign you in, save and show your presentations, run AI features, present live and share what you choose to share.
To process payments, credits and storage limits for your plan.
To send you the emails the service needs, such as sign-in links and presentations someone shares with you. We don't send marketing email without your permission.
To keep the service secure, prevent abuse and fix problems, for example by briefly counting wrong passwords from the same network so nobody can guess their way in.
We do not sell your personal information, and we do not use it for advertising.
AI features
When you use AI features (creating a deck, Magic edits, charts, images, captions, brand styles, fact-checking, Record Pod notes), the text, slide content, images and audio needed for that request are sent to our AI providers to produce the result: Anthropic (Claude) for writing and editing, and Cloudflare Workers AI for images, speech-to-text and some text tasks. Fact-checking may run web searches based on your request. Photo search sends your search words to Pexels or Openverse.
We use these providers' business API services. Under their terms, API data is not used to train their models by default. AI output can be wrong; please check facts before you present them.
What others can see
Presentations are private by default: only you can see them.
If you make a presentation public or password-protected, it appears on your hub link (instapresentation.com/yourname), and anyone with the link (and the password, if set) can view it.
When you present live, people following along on your hub see your current slide, and you see their reactions, chat messages and questions. More about this under Live sessions below.
If you share a presentation by email, we send the recipient the link and any note you add.
On team plans, team admins can see team membership and shared brand settings.
Live sessions
When you follow a live presentation, you can add a name or stay anonymous. Your name, chat messages and questions are shown to the presenter and to the other people following that session. The presenter can hide messages, review questions before they appear and mute people.
Poll votes count once per device, and everyone sees only the totals, not who voted for what. Reactions are shown as counts, without who sent them.
The presenter gets a recap of each session: the names and messages typed in the chat, the questions, the poll results, and counts such as how many people followed along. The recap is deleted after 180 days, sooner if the presenter deletes it, unless the presenter chooses to keep it.
Your browser keeps a random device id for live sessions, so your votes count once and your name is remembered next time.
Service providers we use
These providers process data only to provide their service to us, under their own privacy and security terms.
Cloudflare: hosting, database, file storage, email sending and some AI processing.
Anthropic: AI writing and editing (Claude).
Stripe: payments and billing.
Google: sign-in with Google, and saving files to your Google Drive when you ask us to.
Pexels and Openverse: photo search (they receive your search words, not your account details).
Google user data
If you sign in with Google, we receive your email address, name and profile picture, and use them only to create and identify your account. If you choose "Save to Drive", we request access only to files InstaPresentation creates in your Drive (the drive.file permission); we cannot see or change your other Drive files.
We don't sell Google user data, use it for advertising, or share it except as needed to provide the features you use. InstaPresentation's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Cookies and local storage
We use one cookie to keep you signed in, and a short-lived cookie to protect the sign-in process. Your browser's local storage keeps small preferences such as your theme and recent choices, and the random device id used for live sessions. After you open a password-protected presentation, your browser keeps a pass for it in session storage, so you aren't asked again during that visit (up to 12 hours). If a shared network (say, venue Wi-Fi) has had a lot of wrong passwords for a presentation, we set a random id cookie for a day so your own tries are counted apart from everyone else's there. We don't use advertising or third-party tracking cookies.
How long we keep it
We keep your account and content while your account is open.
You can delete presentations and uploaded files at any time. Version history keeps up to 120 earlier versions of each presentation so you can restore them; these are removed when you delete the presentation.
Names and messages typed in live chat, questions and polls are kept with the presenter's session recap for 180 days, unless the presenter deletes the recap sooner or chooses to keep it.
To close your account and delete your data, email us. We delete it within 30 days, apart from records we must keep for legal, tax or payment reasons.
Your choices and rights
Access and export: download your presentations from the editor, or everything at once from Settings.
Correct: update your name and details in Settings.
Delete: delete content yourself, or ask us to delete your account.
Depending on where you live, you may have further rights (for example under GDPR or California law), such as objecting to processing. Email us and we will help.
Security
We use encrypted connections (HTTPS), store data with Cloudflare, keep API keys and secrets out of the app itself, and limit access to what's needed to run the service. No system is perfectly secure, so please use a strong email password and keep sign-in links private.
Children
InstaPresentation is not meant for children under 13, and we don't knowingly collect their personal information. If you believe a child has given us information, contact us and we'll delete it.
International use
Our providers may process data in the United States and other countries where they operate. We rely on their safeguards for international transfers.
Changes to this policy
If we change this policy, we'll update the date at the top, and for significant changes we'll let you know by email or in the app.
